Finance and Administration Specialist

Job location: Wrocław, Poland

You live your life in papers! You cherish your favourite brand of paper and you know its feel and smell by heart. Seriously though, we are looking for a person to manage the document workflow in our companies – Clearcode and Piwik PRO. Your main point of contact and supervisor will be the CFO. With you on board, we’ll be able to relax, knowing that all the “I’s are dotted and T’s are crossed” in our documentation. This position requires the skills and experience of a truly unique individual :)

What will your responsibilities be?

    Administration and control (35%):

    • Planning and implementing the internal document workflow, as well as the workflow with our external accounting firm and contractors
    • Making sure that the external accounting firm receives documents in a timely manner
    • Reviewing monthly financial statements supplied by the accounting firm – working with them until they are all in order!

    Payroll (35%):

    • Preparing agreements and changes to agreements with our subcontractors
    • Tracking payroll changes and creating an efficient workflow of documents
    • Calculating the monthly paychecks, taking into consideration variations (refunds, bonuses, benefits)
    • Monitoring absences among co-workers and being a point of contact for them
    • Coordinating with our health-care provider, updating list of insured persons

    Payments (15%):

    • Keeping an eye on vendor data (i.e. identifying unused subscriptions and services, researching alternative service providers)
    • Making sure that our documentation and agreements with vendors are updated
    • Overseeing the payments process

    Special tasks (15%): mostly related to legal stuff, but since they are special, we will not elaborate.

    About you:

    • You are able to speak and write in English, because you will coordinate from time to time with our friends from the United States and Germany. You may also be in contact with our foreign suppliers
    • You have previously worked in accounting, payroll, audit or as a financial analyst
    • You feel totally comfortable working with Excel – you are acquinted with formulas, know how to do a pivot table and import data from many different sources
    • You are discreet and maintain confidentiality
    • Accuracy, thoroughness and meticulousness are your second, third and fourth name, because you just don’t make mistakes
    • When you are done taking care of all of the above, you are reading to jump in and do undertake extra oversight or you finish your duties so efficiently and accurately that you have plenty of time to look into improving other things around the office :)
    • You have the initiative and faith that all things can be done more efficiently

    It would be cool if:

    • You understood IT business dynamics / you have worked for a similar employer before
    • Accountants don’t know much more than you about accounting stuff :)
